Booking exhibition space is only the first step towards being ready for Gulfood. Your team still needs to decide how products will be displayed, where buyers will meet and how sampling, storage and equipment will fit within the stand.
With Gulfood 2027 scheduled for March, exhibitors should work backwards from opening day and allow time for design decisions, approvals and production. The organiser is already accepting stand enquiries through its official website.
The timeline below is a recommended planning guide. Your booking agreement, exhibitor manual and organiser instructions take priority over these suggested dates.
October–November 2026 — Secure Space and Set the Brief
If you intend to exhibit, contact the organiser now to discuss availability, sector placement and stand options. Confirm whether your package includes a shell scheme or provides space for a custom-built stand.
Before detailed design begins, obtain the confirmed dimensions, open sides, venue, hall and stand number. These details affect entrances, branding visibility and the layout.
At the same time, prepare a brief for your Gulfood 2027 exhibition stand covering:
- Products and brands you want to prioritise.
- Sampling, preparation and refrigeration requirements.
- Meeting space and the number of staff attending.
- Storage for stock, packaging and personal belongings.
- Your overall budget, including venue services and logistics.
For a food exhibition, equipment requirements belong in the first brief. Adding a refrigerator or preparation counter later can change the layout and power requirements.
November–December 2026 — Appoint Your Stand Contractor
Shortlist exhibition stand builders in Dubai while the brief is being developed. Share the same requirements with each company so you can compare proposals fairly.
Look beyond the design render. Ask what the quotation includes for fabrication, graphics, furniture, lighting, transport, installation and dismantling. Clarify who handles technical submissions and which organiser charges remain separate.
Choose one person within your business to consolidate feedback and approve decisions. Conflicting instructions from sales, marketing and management can delay a project even when the contractor is ready to proceed.
December 2026–January 2027 — Finalise the Design and Technical Requirements
Effective Gulfood stand design should make it easy for buyers to understand your offer and start a conversation.
Check how the stand will work during a busy period. Can staff replenish samples without crossing the meeting area? Will an open refrigerator door obstruct circulation? Is there enough concealed storage to keep cartons off the display floor?
Before approving the design, review:
- Product display positions and visitor access.
- Equipment dimensions and electrical requirements.
- Water, drainage or other services where needed.
- Branding, lighting and meeting arrangements.
- Applicable venue rules and submission requirements.
Obtain the current exhibitor manual as soon as it becomes available. Build its actual submission and service-order deadlines into your schedule, allowing time for revisions.
January–February 2027 — Release the Stand for Production
Once the design is signed off and the required approvals are in place, move into fabrication and graphics production.
Provide final logos, product images and copy at the agreed specifications. Check product names, Arabic and English text, contact details and QR codes before approving print files.
Late changes become more disruptive at this stage. Moving a counter may affect fabricated components, wiring and graphics, so confirm the layout before production starts. Arrange a workshop inspection or progress review where practical. Use it to check finishes, key dimensions and the fit of important equipment before delivery to the venue.
February–March 2027 — Coordinate Delivery and Installation
Bring the stand contractor, logistics team and exhibition staff onto one delivery plan. Confirm who is responsible for the structure, equipment, product samples, printed materials and consumables.
For food products, coordinate shipping, storage and any required documentation with the relevant specialists. Keep these arrangements aligned with the organiser’s delivery and access instructions.
On-site construction must follow the official build-up schedule. Before handover, test lighting, sockets, screens and equipment, check graphics and doors, and record any outstanding work. Leave time for corrections before visitors arrive.

FAQs
- When should I book space for Gulfood 2027?
Contact the organiser as soon as participation is approved internally. Availability and booking terms must be confirmed directly; the planning dates above are not official booking deadlines.
- Can stand design begin before my space is confirmed?
Initial concepts and budgeting can begin, but detailed design should use confirmed dimensions, open sides and venue requirements to avoid unnecessary revisions.
- Is booking exhibition space the same as booking a stand build?
They are separate arrangements unless your package explicitly includes the required structure and services. Check what the organiser supplies before commissioning additional work.
- What if I start planning later than this timeline?
Ask the contractor to assess the remaining time against design complexity, approvals and production capacity. A simpler design or available modular components may be more practical than an elaborate custom build.
- Who handles stand approvals and service orders?
Agree on responsibilities with your contractor at appointment. Record who prepares submissions, places service orders, pays charges and tracks deadlines.
